Troubleshooting Availability
There'll be occasions where you're not sure why a certain time slot is or isn't appearing to the customer. Or, when you've set the availability for an instructor but on the booking site, it says they're unavailable.
Before diving deeper, start with these quick items:
Do the rooms the instructor is available in match or overlap with the ones you've selected in the lesson settings?
If the coach is available in Cage 1 and Cage 3, but the lesson is set to Cage 2, they won't appear available.
Are the rooms actually free during the instructor’s available times?
Even if the coach is available, but the room is already booked or occupied during those hours, the system won’t show any availability for that coach.
Is “All Selected Rooms” mistakenly turned on in the lesson settings?
This setting means all selected rooms must be available at the same time in order for a time slot to show, as the lesson will be taking place in all the selected rooms.
The example in this section should help you in troubleshooting availability.
In order to test your availability is working, here we are testing a sample lesson with Matt as the instructor.
In our example, Matt's availability is 9AM-12PM, as well as 1PM-5PM. As well, he is available in Cage 1, Cage 3 left and Cage 3 right.
Now we will create a lesson where Matt is the Instructor.
⚠️ IMPORTANT: The rooms in which an instructor is available in, must match the rooms that are selected when creating a lesson.
For example, if Matt is available in Cage 1 and Cage 3, then the rooms selected in Lesson Settings must also be of Cage 1 and/or Cage 3.
If the room selected in the Lesson settings is Cage 2, then Matt will not appear as available, because his availability is only Cage 1 or 3, and vice versa.
Once saved, we can copy the booking link shown in red.
To test this from a customer's experience — open an incognito browser window and sign in with a customer account (different email address to your staff profile), where you'll be able to see if the instructors appear as available.
From a customer's view:
- Select Lessons as the Service Type
- Select the instructor and continue
If the instructor's profile is not greyed out and it shows when they're next available, then you would have set their availability correctly!
