Check-In
The Check-in feature makes it easy for customers to confirm their arrival for rentals, classes, camps, and lessons. This helps your facility stay organized, know exactly who has arrived (and paid), and keep accurate attendance records for the future.
With check-in enabled, you’ll be able to:
- Streamline arrivals with kiosks, QR codes, or customer phones
- Reduce manual tracking and paper lists
- Automatically have attendance marked in your Swift Admin dashboard
Enabling check-in for your facility
To enable the Check-in feature:
- In your Swift Admin dashboard, go to Settings > General > Booking Policies
- Toggle the Check-in feature to ON
- Click the Configure button to:
- Decide how early customers can check in before an event
- Choose whether participants should be notified to check in
In this section, you can also access your facility’s unique check-in URL and QR code. You can use these at kiosks, on posters, or on your website to make check-in easy for participants.
How a customer can check-in
Customers have multiple options for checking in, depending on what works best for your facility setup.
1. At Your Facility
Check-in kiosk or tablet:
Set up a tablet (such as an iPad) at the front desk with your facility’s self check-in URL. Customers simply enter their name, find their profile and go through the check-in process.
QR code posters:
Print your facility’s unique QR code and place it at the entrance or front desk. Customers can scan the code with their phone to check in instantly.
2. From Their Phone
Through the Swift mobile experience:
Customers can log into their Swift account, go to My Account > Activity, and check in for their upcoming booking, even before they arrive at your facility.
On-the-go check-in:
If you had enabled the "Notify Participants" checkbox when setting up Check-In, the participants will be notified by email to check-in for their session. This option is helpful for parents checking in children or for participants who want to skip the kiosk line.
How to check if a customer has checked-in
Once customers check in, their attendance is automatically tracked in your Swift Admin dashboard.
Calendar view:
When a customer has successfully checked in, their booking tile on the Calendar page will show as Paid and Attended.
Participant management:
Click on a booking tile and select Manage Participants and Payments to see attendance details for each participant.
This makes it simple for staff to confirm arrivals in real time and for managers to review attendance records later.
