Invoices

Invoices Report

The invoices report allows you to see an aggregation of how many invoices you have, how much you have due, owing, and paid from your customers.

You can visit the invoices report by navigating to Reports > Invoices (opens in a new tab) in the Swift Admin Dashboard.

When to Use the Invoices Report

The invoices report is helpful if you would like to get an overall idea of how much you have due, owing, or collected over a certain period of time. This report can help you answer questions like:

  • How many invoices are overdue/void/paid?
  • What is the status of all the invoices that were meant to be collected over the last month?
  • How much do I have to collect for the month?
  • How much does a specific customer owe me?

Filtering Report Data

There are various filters included to help you slice and analyze the data further. You can filter the report for:

  • Customer: Invoices made to a specific customer
  • Invoice Status: You can view invoices that fall into a specific status such as Paid, Open, Void, and Overdue
  • Invoice Date Range: Use this filter to filter invoices based on their due date

Like the other reports, the data is inclusive of the custom time range, so it'll include data from the beginning and end of the range.

When you're ready, just click "Run" to see the output!

Showing & Hiding columns

To show/hide specific columns in the resulting data, you can click the "Columns" icon above the table.

This will allow you to toggle the visibility of certain columns, ensuring your view is tailored to what you're looking for.

Exporting the Report

To export the resulting data, you can click the "Export" icon above the table. This will allow you to Download the data as a .csv file, or print it for reference.

Email Blast Customers from Report

If you have the Email Marketing add-on, you'll be able to send a email blast directly to a filtered view from the Invoices report.

Just click the "Email" icon above the table. This will allow you to send an email directly to the customers shown in the filtered data.

This is helpful if you want to send an email to your customers to remind them to make their payments towards an invoice before they become overdue.
