Unpaid Booking Report
The Unpaid Booking report allows you to see list of all the bookings that have been marked as unpaid within a given time range. Unpaid is the default state when a client is added to a booking and payment has not been collected.
You can visit the Unpaid Booking report by navigating to Reports > Unpaid Booking (opens in a new tab) in the Swift Admin Dashboard.
When to Use the Unpaid Booking Report
If you're collecting cash, Venmo, Zelle, e-transfer, or any other form of alternate payment frequently, then this report is a great way to "reconcile payments" at the end of the day.
It'll help you answer questions like
- How many bookings were unpaid yesterday?
- Which bookings do I still need to collect payment on over the last month?
Apart from a per-booking breakdown, you'll also see a summary of the total number of unpaid bookings in the chosen time window.
Filtering Report Data
There are various filters included to help you slice and analyze the data further. You can filter the report for:
- Customers: See if there are unpaid bookings for specific customers
- Staff: Filter for bookings with specific staff members or instructors
- Service Types: You can filter the view to only show activity related to "Lessons" or "Classes" for example.
- Services: Use this to filter the view for a specific lesson (ex: "show me all unpaid Hitting Lesson bookings in the last 30 days")
- Date Range: Here, you can choose the time window of data to consider. You can choose from our pre-filled options, or select a custom time range.
The data is inclusive of the custom time range, so it'll include data from the beginning and end of the range.
When you're ready, just click "Run" to see the output!
Showing & Hiding columns
To show/hide specific columns in the resulting data, you can click the "Columns" icon above the table.
This will allow you to toggle the visibility of certain columns, ensuring your view is tailored to what you're looking for.
Exporting the Report
To export the resulting data, you can click the "Export" icon above the table. This will allow you to Download the data as a .csv file, or print it for reference.
Email Blast Customers from Report
If you have the Email Marketing add-on, you'll be able to send a email blast directly to a filtered view from the Unpaid Booking report.
Just click the "Email" icon above the table. This will allow you to send an email directly to the participants shown in the filtered data.
A great option if you want to email everyone on an unpaid booking, asking them to bring cash (for example) the next time they visit the facility.
