Schedules

Schedules dictate the hours of operation (opening and closing) of Rooms in your facility.

You can visit the Schedules page by navigating to Settings > Schedules (opens in a new tab) in the Swift Admin Dashboard.

How It Works

A schedule is a set of hours in which a room (or set of rooms) is considered open.

When you first setup your account, you'll go through the process of creating a schedule called "Working Hours". This is the default schedule that wil be assigned to your facility when it's first created.

If you don't change anything, all rooms in your facility will operate by these hours (which is fine in most cases).

Creating A Schedule

Sometimes, you'll have specific rooms that operate to different schedules (ex: an outdoor field that's closed on weekends).

In that case, you can create a new schedule by visiting the Schedules page (opens in a new tab) and hitting "+ New" on the top right.

Here, you'll have the ability to set a name for this new schedule (ex: "Holiday Hours"), and then set the hours accordingly.

Once the schedule is created, you can then go to the Rooms page and assign it to a room to take effect.

Quick tip: To quickly make bulk changes to the days, you can set the hours on one of the weekdays (ex: Monday). Then, if Tuesday opens & closes at the same times, you can click the "Up" arrow besides Tuesday to automatically set it's hours to "Same as above". This way, you can easily update the schedules for the different days without having to click into the time dropdowns many times.

Running 24x7

If you're running a 24x7 facility, or a business that's self-serve, unstaffed, and always open - you can set the hours accordingly.

Currently in Swift, it isn't possible to set the hours to "always open", so instead you can set them from 12AM (Start Time) to 11:45PM (End Time). This leaves a 15-minute gap at night, but should suffice to produce a nearly 24x7 schedule. This is something that may change soon in the product!

Editing A Schedule

To edit an existing schedule, just click on the schedule and update it's hours. These will automatically take effect.

Setting Holiday Hours or Temporary Schedule Changes

Sometimes, you'll need to temporarily adjust your schedule to account for things like long weekends, holidays, and renovations.

Since schedule updates take effect immediately and indefinitely, you'll need to time the update of your hours accordingly.

You can:

  1. Indicate in the description of your facility (on the booking page) that hours will be changing temporarily to give customers a heads up
  2. Update the schedule when you're ready for the changes to take immediate affect
  3. Once the period of adjustment is over, come back and re-adjust the schedule to your original times & update your description.

Another option that some folks find easier is to create a booking that blocks off the entire facility (if closed) during a specific period.

If your facility is open on a holiday that it would normally be closed, you can also create availability blocks (or add class sessions) during the closed period and clients will still be able to book. This can save you the time of updating your actual schedule but stil allow you to offer holiday programming.

Deleting A Schedule

To delete a schedule, simply come to the schedule page and click "Delete" on the bottom left.

You'll need to make sure the schedule isn't assigned to any existing rooms before doing so!
